Cancellations, Withdrawals and Refunds

Course cancellations

In most cases, if fewer than 12 students enroll in a course, the course may be canceled. The college will notify students regarding the cancellation.

A student enrolled in a canceled course will receive a 100 percent refund of tuition and fees for the course. The refund can be applied to another class during the same semester. 

Course withdrawal

For classes which meet for 6-weeks, 8-weeks or 16-weeks, the last day to withdraw and receive a grade of W instead of a punitive grade is included on the academic calendar. Every registration statement also has a notation for the last day to withdraw.

Withdrawal requests must be in writing and signed and dated by the student. The request must include the student's ID number, course number(s) to be withdrawn, and applicable semester.

Ways to withdraw:


  • In-person - Complete a Change of Schedule form at the Admissions & Registration counter in Student Services (Riverfront Campus), or at the South Extension Center (Watseka). 
  • Mail or fax - Mail or fax the Change of Schedule form. Address it to the Office of Admissions and Registration. If mailed, it must be postmarked on or before the deadline.
  • Email - To your academic advisor. Must be sent from your KCC student email account
  • KCConnect - Use the Email My Advisor(s) link.

No withdrawals will be accepted over the telephone.

Withdrawing students will receive a 100% tuition refund through 10% of the duration of the course. No refund is given after 10% of a course has elapsed. Refund dates are noted on your registration statement.

If the final day for a refund falls on a weekend or when the college is closed, the deadline is the next business day.

For the exact refund deadline for any course, see your registration statement, contact the Office of Admissions and Registration or phone the Accounting Office at 815-802-8140. The office hours are 8 a.m. - 7 p.m. Monday through Thursday and 8 a.m. - 5 p.m. Fridays. Offices are closed most Fridays in May, June and July.

Refunds will not be granted due to a change of course instructor. A refund from a credit card payment will be made in the form of a credit to the cardholder's account.
